The routine is the product

A cordless lamp is not really a lighting product. It is a piece of small equipment that happens to give light, and like every other piece of small equipment in a restaurant — the card machines, the wine keys, the thermometers — it survives on a routine or it does not survive at all.

The test is simple and unforgiving. If the routine only works when your best closer is on, it is not a routine. It is one person's diligence, and diligence leaves.

So write it short enough that a new starter can execute it on their second shift, and put it on a card at the bay rather than in a manual nobody opens.

Count. Against a written list, not from memory. The count catches the lamp left on a windowsill, the one that went into a tote box with the linen, and the one that is genuinely gone. Finding that out tonight is a small problem. Finding it out next month is an order.

Inspect. Hands on each unit. A loose or wobbling charging port, a cracked housing, a base that is unusually warm, a shade that has shifted. This step exists specifically so that nothing damaged goes back onto a charger. Follow the manufacturer's instructions on what to do with anything that fails, and isolate rather than improvise.

Clean. Using the method the supplier approves for that finish, with the lamp isolated from power. Verify. Read the indicators before you walk away. This is the step everyone drops first, because it feels like the routine is already finished. It is the step that turns four other steps into a guarantee.

Then opening closes the loop: collect, place at the assigned table, check output against the reference lamp, and report shortages before the doors open rather than at the first seating.

Build the bay before the lamps arrive

The charging station is part of the design even though no guest will ever see it. Improvised, it becomes a pile of lamps in a drawer with three cables between them. Designed, it takes about a metre of shelf and makes the whole scheme legible at a glance.

Six conditions decide the location, and none of them are negotiable:

  • Dry, and still dry when the floor gets mopped at close.
  • Ventilated — never a closed drawer, never under a pile of linen, never inside a cupboard that traps heat.
  • Away from sinks, heat, grease and combustibles. The pass is not a charging bay. Neither is the shelf above the dishwasher.
  • Out of guest circulation and clear of trolley wheels and tight cable bends.
  • One approved cable per bay, and it does not leave. Cables that migrate to phones and speakers are the beginning of every charging failure that follows.
  • Reviewed by a qualified person for circuit capacity, outlet condition, ventilation and the electrical requirements that apply where you trade.

Then number the positions and give every lamp an asset number that matches. The payoff is immediate: an empty bay means a missing lamp, and you can see it from the doorway without lifting anything. Line the indicators up so they read left to right in one glance. Keep one visibly separate shelf for anything tagged out.

Follow the manufacturer's instructions first, and treat swollen, hot, cracked or odorous units as things to isolate and get assessed — never as things to put back on charge.

Two sets, or one set and a nervous night

The most common structural mistake is buying exactly as many lamps as you have tables. It leaves the overnight window as the only thing standing between you and a dark room, and overnight windows shrink. A late private event, an early delivery, a short Sunday close — any of them can eat the turnaround.

Running two sets that alternate takes the charging window out of the critical path entirely. Set A works Monday, Set B works Tuesday, and neither is ever charged under pressure. It costs roughly twice the lamps and twice the bay positions, and it demands the discipline to know which set is which — which is exactly what asset numbers are for.

Put a name against it on the rota, the way you would for the till, the keys or the alarm. Train it twice — once with a real lamp in hand at the bay, once by watching them do the whole loop unaided. Keep the card at the bay in the language your team actually works in.

And audit it occasionally, without warning. Not as a discipline exercise, but because the drift is genuinely invisible from the dining room. The routine degrades in the back-of-house, and the symptom appears at table nine.

What actually fails at month six

Almost none of it is the battery. It is the routine wearing out, one small permission at a time.

Cables walk. One adapter goes to a phone, then two, then bays start sharing. Count cables at close, alongside the lamps.

The set drifts. Different brightness, different colour mode, table to table. Nobody decided this; it accumulated through accidental touches and rushed openings. Keep one reference lamp set to the approved scene and check against it, not against memory.

Spares go stale. The same units run every night while the spares sit untested. Rotate them deliberately.

The log stops. Faults get "fixed" by re-docking rather than by being written down, so the same unreliable lamp travels the room forever. Asset numbers make that impossible.

The quarterly audit

Once a quarter, spend an hour on this.

Any unit that reads visibly dimmer, warmer or cooler than its neighbours gets isolated and logged — not because it has failed a test, but because a guest sitting at that table is already seeing a difference you have stopped noticing.

Check the fault log against the fleet while you are there. Look at which asset numbers keep appearing. A lamp that has been logged four times is telling you something the log has already recorded and nobody has read.

Then check the bay itself: cable condition, connector wear, ventilation still clear, nothing stacked, nothing wet, the tagged-out shelf actually empty because the units on it were dealt with rather than parked.

When to stop patching and re-specify

There is a point where the honest answer is that the routine is not the problem — the choice was.

If the same tables keep going dark, if the charging window has never once been comfortable, if the bay has grown to two shelves and a floor stack, or if the room genuinely cannot staff a nightly loop, revisit the power decision itself.
