A restaurant can lose its lighting quality without one lamp visibly failing. A film forms on a glass shade. A row of LEDs slowly delivers less light. One emergency replacement shifts the colour of a pendant run. A dimmer scene drifts upward because the room no longer feels as bright as it did at opening.

The answer is not a universal instruction to clean every fitting monthly or replace every lamp after a fixed number of hours. Different rooms load fixtures differently, and different finishes tolerate different care. The useful answer is a small maintenance system: record the baseline, inspect by exposure, follow the manufacturer’s method, and measure before you buy replacements.

Start with this maintenance schedule

The schedule below is a Resto Glow operating template, not a regulation. Use it for the first month, then shorten or lengthen each interval according to what your inspection log shows.

The important part is comparison. A glass pendant near the pass may need attention before an identical pendant in a quiet private room. If both are put on the same arbitrary calendar, one is cleaned too late and the other is handled more often than necessary.

Why the room gets dimmer before a lamp fails

There are at least three different problems hiding inside “the restaurant looks darker.”

The first is dirt on the optical path: dust, fingerprints, cooking residue, or a film on a lens, shade, reflector, lamp, or nearby surface. The Illuminating Engineering Society defines a light-loss factor as an allowance for changes that reduce delivered light from its initial condition, including depreciation in lamps, control elements, and room surfaces (IES light-loss factor). Cleaning the outside of a shade cannot solve every component of that loss, but it can remove the one sitting visibly in front of you.

The second is gradual source depreciation. LED life is commonly described by a point at which output has fallen to a percentage of its initial level. The US Department of Energy explains that the familiar L70 description refers to output reaching 70% of the initial amount, while also warning that drivers and other components can fail independently (DOE LED basics). That is why “it still turns on” is not a maintenance test.

The third is a changed room. Darker paint, a new menu stock, moved tables, a brighter bar display, or a different evening scene can alter the way the same light feels. Before blaming the fixture, compare the current room with the dated baseline photograph and scene record.

Build a baseline before you clean anything

Pick one representative fixture from each family and record it before the first maintenance pass.

  • Photograph the fitting switched off, from the same marked position.
  • Photograph its effect switched on, using the same lighting scene and phone.
  • Record the fixture location, source or integral LED model, colour temperature, dimmer circuit, installation date if known, and manufacturer care link.
  • Place one fixed reading point beneath or beside it.
  • Note nearby exposure: open kitchen, door, candle, bar steam, guest touch, or low traffic.

For a relative reading, use the same phone, app, position, orientation, person, and scene every time. The phone is not a substitute for a calibrated meter or a compliance measurement. Once the baseline exists, clean only one of a matched pair. Photograph and compare again. If the difference is visible or the relative reading rises materially, you have evidence for a shorter cleaning interval in that exposure zone. If nothing changes, investigate the source, driver, control scene, aiming, or room surfaces instead of repeatedly polishing the shade.

Clean the material you have, not the one it resembles

Two brass-coloured fittings may have entirely different surfaces: solid unlacquered brass, plated metal, paint, powder coat, or a clear protective finish. One may be intended to patinate. Another may be damaged by a metal polish.

Use this order:

  1. Disconnect or isolate power as required for the fixture and let it cool.
  2. Read the exact manufacturer’s care instructions for the model and finish.
  3. Test the approved method on a hidden area when the instructions permit it.
  4. Keep moisture away from electrical openings, touch controls, charging contacts, drivers, and lamp holders.
  5. Support removable glass, crystals, and diffusers; do not let their weight hang from wiring or small clips.
  6. Reassemble, restore power, and check the complete scene before service.

For glass, the risk is often not the glass but what surrounds it: plated trim, a gasket, an electrical opening, or a coating. For acrylic and other plastics, abrasives and incompatible chemicals can create permanent haze or fine scratches. For fabric, paper, rattan, and porous shades, a wet method can set stains, distort the material, or affect flame-performance treatments. For living finishes, a patina may be part of the design rather than something to remove.

If there is no care document, do not improvise with the strongest cleaner in the building. Ask the supplier for the exact method in writing. A clear answer belongs in the maintenance file and in the lighting supplier scorecard.

Treat portable table lamps as a small system

Portable lamps move, rotate, charge, and get touched. Their maintenance record needs more than a wipe-down box.

At close, check that every lamp returned to its assigned table or charging position, that the body and shade are intact, and that the controls respond consistently. Keep liquids away from charging contacts and follow the exact cleaning and charging instructions for the model. Quarantine a lamp that is swollen, unusually hot, damaged, unstable, or behaving differently; do not send it back to a table because it still produces light.

Once a week, compare the group at the same brightness setting. A lamp that is visibly dimmer, a different colour, or much shorter-running than the others is a maintenance exception. Log it by asset number. Inspect food and preparation areas separately

Lighting above exposed food, clean equipment, utensils, linens, and unwrapped single-use articles has a different risk profile from decorative lighting in a lounge. The 2022 FDA Food Code includes protective shielding or shatter-resistance provisions for bulbs in specified areas, but the Food Code is a model and local adoption can differ (2022 FDA Food Code). Check the rule adopted by your jurisdiction with the local health authority.

Do not interpret “cleaning the fixture” as permission for an untrained employee to open, remove, or service protected equipment over food. Coordinate access, isolation, protection of the area below, and reassembly with the responsible professional and the manufacturer’s instructions. If a shield, lens, fastener, or seal is missing, treat that as a defect to resolve, not a cleaning note.

Know when cleaning is not the fix

Stop and escalate when you see:

  • repeated flicker or delayed starting;
  • heat damage, odour, discolouration, or buzzing;
  • cracked glass, loose suspension, damaged cord, exposed conductors, or moisture ingress;
  • a driver or source that fails only at a particular dimmer level;
  • colour shift within a matched row;
  • output that stays low after the approved cleaning method;
  • a portable lamp with battery or charging behaviour outside its documented norm.

An electrician or qualified service provider should diagnose electrical faults. A maintenance checklist does not authorise opening a fitting or working live.

Replace a system, not a surprise lamp

A single emergency replacement can make a row look wrong even when the package says the same colour temperature. Product family, output, beam, dimming behaviour, colour rendering, tint, and age all affect the visual match.

Keep a spares record with the exact model, order date, supplier, colour temperature, rendering data supplied by the manufacturer, driver or dimmer compatibility, and the fixtures it serves. Label the physical spare. Do not rely on “warm white” written on a shelf.

When one source fails in a visually continuous row, install the exact documented replacement if available and compare the whole scene. If the replacement is visibly different, plan the row as a group rather than accepting a patchwork. For integral LED fittings, ask the supplier at purchase time what can be replaced, who can service it, and what happens when the driver or light engine reaches end of life.

DOE’s commercial LED purchasing guidance recommends periodic light-level checks because an LED system can continue operating as its output falls (DOE commercial LED luminaire guidance). Your dated baseline and fixed reading points turn that recommendation into something the restaurant can actually run.

What to look for in easier-maintenance lighting

Maintenance begins during specification. Before buying for a hard-working room, ask for:

  • a care method for the exact finish and diffuser;
  • access instructions and required clearance;
  • replaceable-part and driver information;
  • cleaning-agent restrictions;
  • dimmer compatibility and minimum stable level;
  • source, lens, seal, battery, and charger replacement routes;
  • documentation relevant to the exact installation zone.

Smooth, accessible forms are usually easier to inspect than deep assemblies with many ledges, but shape alone does not prove suitability. A closed-looking shade is not necessarily sealed, and a wipeable-looking surface is not necessarily compatible with restaurant cleaners.

Use those questions while browsing restaurant lighting, pendant lights, and table lamps. Shortlist by the room and the maintenance route, then verify the exact product documents before ordering.

How often should restaurant light fixtures be cleaned?

There is no useful universal interval. Begin with an exposure-based schedule, inspect a reference pair monthly, and adjust from the evidence. A fixture near an open kitchen, exterior door, bar steam, or frequent guest contact may load faster than the same model elsewhere. Manufacturer care instructions still control the method.

Can staff clean a light fixture while it is on?

No general article can make that safe. Follow the fixture instructions and the restaurant’s electrical-safety procedure. Cleaning normally begins with the required power isolation and cooling, and electrical diagnosis belongs to a qualified person.

Why are my LED fixtures dim even though they still work?

Possible causes include dirt on the optical path, source lumen depreciation, driver or control problems, a changed dimmer scene, altered room finishes, or changed fixture aim. Compare with the baseline, clean only by the approved method, repeat the fixed-point test, and escalate faults.

Should I replace one lamp or the whole row?

Use the exact documented replacement first. If one replacement remains visibly different in output, colour, beam, or dimming behaviour, plan the visually continuous row as a group. Keep the decision and the installed model in the log.
